Zoho Projects Alternative in One Product: Weenvo vs Zoho

Weenvo is a Zoho Projects alternative for teams that want sprints, meetings, forms and a portal in the same product as tasks and timesheets. Zoho Projects is cheaper on its own licence, but sprints, meetings and forms are separate Zoho products. Below: what sits inside Projects, the cost for 30 users, and when Zoho is the better buy.

Zoho Projects is the cheapest serious tool in this series, and it is the only one besides Weenvo that includes timesheet approval on its entry paid plan. Premium costs €4 per user per month. For a team that needs projects, time logs and approved timesheets and nothing else, it is hard to argue with. The catch is the product boundary. Sprints are Zoho Sprints. Meetings are in Zoho Sprints or Zoho Meeting. Forms are Zoho Forms. An intranet is Zoho Connect; employee self-service is Zoho People. Each is inexpensive, each is a separate subscription with its own admin console, and Zoho Projects integrates with them rather than containing them. This article measures what sits inside Projects, what a 30-person team pays for the pieces, and where Zoho is simply the better buy.

What Zoho Projects does well

Price, and honesty about what the price includes. Premium at €4 brings time logs, timesheets, multi-level timesheet approval, task blueprints and 5,000 workflow actions a month. Enterprise at €9 adds SSO, two-factor authentication, custom profiles and fields, and 50,000 actions. Ultimate at €14 adds multi-project timesheets and 15 GB of storage per user. The Free plan carries 5 users and 3 projects.

Blueprints are a real workflow engine: statuses, transitions and approvers drawn as a diagram. Documents with version control live in the project. Gantt charts, dependencies, issue tracking and an invoice integration with Zoho Books are part of the product. Zia, Zoho’s AI, is included on every plan, including Free, for summaries, translation and task creation.

On the one axis the rest of this series worries about most — approved hours at a published price — Zoho Projects is the benchmark.

Which features are separate Zoho products?

Sprints live in Zoho Sprints

Zoho Projects has no backlog, sprint or burndown. Those belong to Zoho Sprints, a separate product that syncs with Projects. Sprints Starter costs €1 per user per month and is sold for 12 to 100 users; Elite is €2.50. Cheap, but a second product, a second permission model and a sync to watch.

Meetings live in Zoho Sprints or Zoho Meeting

Projects can start or schedule a Zoho Meeting call. The meeting itself — participants, recording, the agenda as a text field — is Zoho Meeting, from €1 per host per month on Standard. Zoho Sprints, which a team running sprints already buys, has its own Meetings module on every paid plan: scheduling, recurrence, an agenda field and built-in online calls; minutes go into comments. There is no agenda-item, decision or minutes object in any of them.

Forms, intranet and employee records are three more products

Forms that create tasks come from Zoho Forms (free for one user and three forms; paid plans separate). A departmental portal is Zoho Connect. Employee records and self-service are Zoho People. Zoho’s answer to "one platform" is Zoho One, the whole suite at a published per-user price, which is a different budget conversation.

What it costs for a team of 30

Annual billing, 30 users, prices in euros as Zoho publishes them. Weenvo Standard is €10 per user per month with the 15% annual discount applied.

Set-upPer yearPer month
Zoho Projects Premium (timesheets with approval, blueprints)€1,440€120
Zoho Projects Enterprise (adds SSO, 2FA, custom fields)€3,240€270
Zoho Projects Enterprise + Sprints Starter (meetings included)€3,600€300
Weenvo Standard (everything in the Weenvo column included)€3,060€255

Premium alone is less than half the price of Weenvo. Enterprise, the plan with SSO and 2FA, which Weenvo does not offer, is about the same. Add sprints and meetings as Zoho products and the stack costs 1.2 times Weenvo while still lacking agenda items with owners, recorded decisions, a portal and an employee account. Forms, Connect and People would be further lines. Taxes may apply.

How it works in practice: a 30-person software company

Picture a small software company: thirty people, two product teams running sprints, a support team that bills a few clients by the hour, a weekly release meeting. In Weenvo the product teams run sprints on their project boards, the support team logs hours in task cards and the team lead approves the weekly timesheet, and the release meeting is a Weenvo meeting: agenda items with owners, decisions written during the call, minutes e-mailed to everyone, the hour logged. Company documentation and each project’s documentation sit in the same tree. One product, one login, one set of roles.

In Zoho the same company runs Projects Enterprise for tasks and approved timesheets, Zoho Sprints for the product teams with a sync between the two, the Meetings module in Zoho Sprints for the release call, with the agenda in a text field and minutes in comments, and Zoho Learn for the knowledge base. Each piece is cheap. There are three of them, three admin consoles and three places where a new hire needs access.

When Zoho Projects fits better

  • Budget is the deciding factor. At €4 per user with approval included, Projects Premium is less than half of Weenvo’s price, and the team does not need sprints, meetings or a portal in the same tool.
  • The company already runs Zoho — CRM, Books, Mail — and wants the project tool from the same vendor with native invoicing through Zoho Books.
  • Issue tracking with business rules and webhooks is central, and Zoho’s issue tracker is more developed than Weenvo’s task types.
  • The team is going to buy Zoho One anyway; then Projects, Sprints, Meeting, Forms and People arrive together at one price per user.

FAQ

Is Zoho Projects cheaper than Weenvo?

Yes, on its own licence: Premium is €4 per user per month against Weenvo’s €8.50 on annual billing. The gap closes when sprints, meetings, forms and a portal are added as separate Zoho products, and Weenvo includes agenda items with owners, recorded decisions, a portal and an employee account that the Zoho stack does not.

Does Weenvo include sprints without a separate purchase?

Yes. Sprints, backlogs and boards are part of the same product on every plan, including Free.

Does Weenvo need a separate meeting subscription?

No. Scheduling, recurrence, participant roles, agenda items with owners, recorded decisions and e-mailed minutes are part of every plan. Weenvo does not host video calls; the call link comes from your video tool.

Can Weenvo do surveys as well as intake forms?

Yes. Forms support several question types, custom appearance, access control, a results overview and export to Excel.

Can Weenvo be self-hosted?

The published plans are cloud. Enterprise is priced on request; ask about deployment options when you book a demo.
