Project Management Software for Consulting Firms

Weenvo is project management software for consulting firms that sell engagements and bill approved hours or phases. Each engagement is a project in the client’s workspace with phases as task types; consultants log hours in the task card, the engagement lead approves the week, and finance invoices from the export. Steering committees keep decisions with owners.

Key benefits

Engagements with phases

An engagement is a contracted piece of work for one client with a scope, a team and a price. In Weenvo it is a project created from the practice’s scheme, with phases as task types, so diagnostic, design and implementation tasks are reported separately.

Approved hours before invoicing

Timesheet approval is the step in which the engagement lead accepts or returns each consultant’s week before the hours count. After the lock, the Excel export by client and consultant is what finance invoices from.

A knowledge base per practice

Methods, templates, past proposals and lessons learned live in the practice’s branch of the documentation tree, with access per section and a version for every edit. Firm-wide standards sit above the practices.

Steering decisions written down

A steering committee is a meeting with agenda items filed in advance, decisions recorded during the session with an owner and a date, and minutes sent to the client sponsor. The next committee opens with the status of the last one’s decisions.

An engagement from proposal to close-out

A firm with three practices, strategy, operations and digital, wins an operations engagement with a manufacturing client. In Weenvo the engagement runs like this.

Proposal

The proposal is drafted in Documentation in the operations practice’s branch, next to the last three proposals for similar work. The practice’s estimate per phase goes into the proposal, and when it is signed the same figures become the task estimates.

Kick-off

The client gets a workspace, or a new project in the workspace it already has. The project is created from the operations practice’s scheme: task types diagnostic, design, implementation and deliverable, statuses the practice uses. The client’s sponsor is invited in a limited role and sees this project and its documents, nothing else. The kick-off is a meeting in Meetings with the agenda filed beforehand and the decisions recorded during it.

Phases and workstreams

Each workstream is a set of tasks with an owner and an estimate. A consultant logs hours in the task card during the week, so the engagement lead sees estimate against actual per workstream while the phase is still open and raises a change request before the budget is gone.

The consultant’s week

On Friday every consultant submits the week. The engagement lead opens the weekly timesheet in Time tracking and timesheets grouped by engagement, returns one entry with a note about the wrong phase, accepts the rest, and the period locks. A consultant working on two clients that week submits one timesheet; the hours land in two projects.

Steering committee

Once a month the steering committee meets. Agenda items are owned, decisions are typed in during the meeting with an owner and a date, and the minutes go to the sponsor. A decision to extend the implementation phase becomes a task in the project with the new deadline.

Deliverable sign-off

Each deliverable is a task of type deliverable with the document attached in Documentation. The sponsor comments on the task and moves it to approved. The approved version stays in the history.

Close-out

A project evaluation survey goes to the sponsor and the team through Forms. Answers are kept next to the engagement’s documentation, so the next proposal to this client starts from what the client said. Finance exports approved hours by client and consultant for the final invoice.

The partner’s view

The managing partner opens one report: hours by consultant and engagement for the month, across all three practices, from one login. Utilisation per consultant is computed in Excel from that export.

Use cases

Fixed-fee phase and time-and-materials phase

Both are task types in the same project. Fixed-fee phases are tracked for estimate against actual; time-and-materials phases export approved hours for the invoice. See client projects in Weenvo.

A consultant on several clients

One weekly timesheet, hours landing in each client’s project, approved by each engagement lead.

Client steering committee

Agenda, decisions with owners, minutes to the sponsor, follow-up tasks in the project. See meetings in Weenvo.

Feedback after the engagement

A project evaluation survey to the client and the team, results next to the engagement. See forms and surveys.

FAQs

Can hours be approved before invoicing?

Yes. The engagement lead accepts a timesheet or returns it with a comment, and the period is locked afterwards, so the invoiced hours do not change.

Does Weenvo create invoices?

Weenvo produces the approved hours the invoice is built from: an Excel export by client, project and consultant for any period. The invoice itself is raised in the firm’s accounting system.

Can each practice have its own knowledge base?

Yes. The documentation tree has unlimited nesting with access set per section, so each practice owns a branch and the firm-wide standards sit above them.

Can clients access their engagement?

Yes. The client’s sponsor is invited to the client workspace with a limited role and sees that workspace’s projects, documents and meetings, nothing else.

How do we compare planned and actual hours?

Every task carries an estimate and the time spent, and time reports group them by engagement, client and consultant for any period.

Can we collect client feedback after a project?

Yes. Project evaluation runs through Forms: a survey to the client and the team at close-out, with a results overview and export to Excel.

Is there a free plan to try with one engagement?

Yes. Up to 10 users get every feature on the Free plan, so one engagement team can run a real project on it before the firm decides.
