Client Project Management Software

Weenvo is client project management software for service companies that run projects for external clients. Each client gets a workspace with its own roles, projects, documents and meetings; the client contact sees only that workspace. Hours are logged per task and reported per client, meetings keep written decisions, and the month’s approved hours go to Excel for the invoice.

Key benefits

A workspace per client

A client workspace is a separate area of the portal with its own menu, projects, documents, meetings and members. A new client is a new workspace, created in an afternoon, with its first project from the company’s scheme, and nothing from other clients is in it.

The client sees only their work

A limited role is a role inside a workspace that lets a user read the board and the documents, comment in tasks and do only what the company allows, such as approving a deliverable. The client contact is invited with that role and sees that workspace only.

Hours by client for the invoice

Hours are logged in the task card, approved by the delivery lead every week and reported by client and project. The month’s approved hours go to Excel in one export, and the invoice is built from it.

Decisions with the client on record

Kick-offs and reviews are meetings with agenda items, decisions typed in during the call and minutes sent to the client. What was agreed is on record for both sides, and a decision that needs work becomes a task on the board.

One client from kick-off to invoice

A service company somewhere between a studio and a mid-sized firm signs a new client with a retainer and a fixed-scope project. In Weenvo the client’s year starts like this.

Onboarding

The account manager creates a workspace named after the client in Company portal and workspaces, with its own menu. The first project is created from the company’s scheme, so task types, statuses and custom fields are the usual ones; a second project holds the retainer. A documentation section for the client takes the brief, the contacts and the agreed scope. The client contact receives an invitation with a limited role, logs in and sees exactly this workspace: two boards, the documents, the meetings.

The work

The team moves tasks across the board in Projects and tasks and logs hours in the task card. Every task carries its estimate and the time spent, so the delivery lead sees a work package running over before the client asks about it.

The client’s part

The client contact reads the board, comments in a task and moves a deliverable to approved. New requests come through a form shared by link; the account manager creates a task for each one and attaches the form, so the request details are in the task. Nothing is agreed in a chat thread that the board does not show.

Meetings with the client

The fortnightly review runs in Meetings. Agenda items are filed by their owners in advance, decisions are typed in during the call with an owner and a date, and the minutes go to the client the same day. A decision to extend the retainer becomes a task with its date.

Month end

The delivery lead approves the week’s timesheet every Friday. On the first working day the month’s approved hours go to Excel grouped by client and project: the retainer hours against the monthly allowance, the project hours against the fixed scope. The invoice is raised from that export.

Close-out

When the project ends, a project evaluation survey goes to the client contact by link, no Weenvo account needed, and to the team. The answers sit next to the client’s documents, which stay in the workspace for the next project.

Use cases

Retained client

A retainer as a project in the client’s workspace, hours against the monthly allowance visible before the month ends. See Weenvo for agencies.

Fixed-scope project

Estimate against time spent on every task, sprints if the team runs them, the client reading the board in their own workspace. See Weenvo for IT services companies.

Subcontractor or partner in the client’s workspace

A partner team invited into the same workspace with its own role, its tasks on the same board and its hours on the same report.

Client feedback at close

A project evaluation survey to the client and the team, results next to the client’s documents. See Weenvo for consulting firms.

FAQs

Can clients log in?

Yes. A client contact is invited into the client’s workspace as a user with the role the company gives them, usually a limited one.

What do they see?

Only that workspace: its boards, documents and meetings. Other clients’ workspaces and the company’s internal workspaces are not visible to them.

Can we limit a client to read-only?

Yes. Roles inside a workspace set what a user can do; a role that reads and comments is the usual choice for a client contact.

Can we report hours per client?

Yes. Time reports group approved hours by client, project, person and period and export to Excel, which is what the invoice is built from.

Do we need a separate client portal product?

No. The client’s workspace is the portal: its own menu, its own content, its own roles, inside the same product the team works in.

How many workspaces can we have?

As many as there are clients, departments or contractors. There is no limit on any plan.
