Meetings That End in Decisions
Weenvo is meeting decision tracking software for companies that lose what they decided: minutes typed up late, action items in chat. A meeting in Weenvo is a record that starts before the call and keeps working after it: agenda filed in advance, decisions written under each item, tasks with owners, minutes sent and found by search.
Key benefits
Agenda filed in advance
The meeting is created in the calendar and appears in every participant’s calendar. Agenda items are added by their owners before the meeting, with the document each item refers to attached, so nobody hears a topic for the first time in the room.
Decisions written during the meeting
A decision record is the entry under an agenda item that states what was decided, by which meeting, who owns it and by when. It is typed in while the meeting runs, so by the end the record already exists.
Decisions become tasks with owners
When a decision needs doing, the user creates a task from the agenda item with an owner and a deadline on the team’s board. The task keeps its link to the meeting, and the Meeting Agendas application lists every open item across meetings.
Minutes sent and searchable
Meeting minutes are the record of a meeting: the agenda items, the decisions, the tasks created and the participants. In Weenvo they are generated from the agenda when the meeting ends, emailed to participants and kept with the meeting, where search finds them by date, project or participant.
A management meeting from agenda to next week
A logistics company with a few dozen office staff and several depots holds a management meeting every Monday. The operations director, the heads of the depots and the head of finance attend; half of them join from the road.
Thursday, the agenda
The meeting for Monday is already in the calendar, created from the agenda template the company uses every week: last week’s open items first, then new topics. The head of the northern depot files an agenda item about a delayed fleet repair and attaches the supplier’s quote. The head of finance files the cash-flow item with the report attached. By Friday the agenda has six items, each with an owner and a priority, and everyone has read them.

Monday, the meeting
The meeting opens with last week’s decisions and their status, pulled from the tasks created then: four done, one open. The open one is discussed first. For the fleet repair the decision is typed under the item while the discussion runs: approve the quote, repair by the end of the month, owner the depot head. A task is created from the item with that owner and deadline on the operations board. The cash-flow item is not resolved; it is moved to next Monday’s meeting with Move to Meeting, keeping its history. The hour spent is logged against the meeting in Time tracking and timesheets.
Monday afternoon, the minutes
When the meeting ends, the minutes are compiled from the agenda, every item with its questions, decision and created tasks, and emailed to the participants, present or not. Nobody writes them up. The depot head who joined from the road reads the decision about the repair on the phone.

Wednesday, a question
A supplier asks when the repair was approved. The depot head opens the meeting record, not the chat: the item, the decision, the date and the attached quote are there.
Next Monday
The meeting opens with this week’s decisions and their status. The repair task is in progress; the cash-flow item is back on the agenda with its earlier questions. Over the quarter, the time logged against the management meeting shows in the report what the meeting costs the company per month, read next to what it decided.

FAQs
Can decisions become tasks?
Yes. A task with an owner and a deadline is created from the agenda item by the user and keeps a link back to the meeting; recording a decision does not create a task by itself. Open tasks from all meetings are listed in the Meeting Agendas application.
Can we reuse an agenda for a recurring meeting?
Yes. A recurring meeting starts from an agenda template with the standing items, and unresolved items from the previous meeting are moved in with Move to Meeting, keeping their questions and history.
Are minutes sent automatically?
The minutes are compiled from the agenda, every item with its questions, decision and created tasks, and emailed to participants when the meeting ends. No separate template is filled in.
Can participants outside the company attend?
Yes, as users. Clients, partners and contractors are invited with access limited to the workspace they belong to; they see the agenda, add items where allowed and receive the minutes.
Does Weenvo record or transcribe calls?
Weenvo holds the written record around the call: the agenda, the decisions, the tasks and the minutes. The call itself runs in the company’s video tool, and its link is kept in the meeting record.
Is there a meeting template?
The agenda template holds the standing items of a recurring meeting, and the minutes are generated from the agenda itself, so no minutes template is filled in by hand.
