Marketing Project Management Software

Weenvo is marketing project management software for in-house teams running campaigns, a content calendar and production. Each campaign is a project with tasks from an Excel template; the calendar shows every piece by publish date; the production board moves pieces through the team’s stages; briefs live next to the work; hours per campaign show what shipped and what it took.

Key benefits

A calendar across campaigns

A content calendar is the view of every piece of content by its publish date, across campaigns and channels. In Weenvo it is the team’s calendar: each task has a publish date, so two launches in the same week show up in planning, not in the week itself.

Production stages of your own

A production board is a board whose columns are the stages a piece passes through: brief, draft, review, approved, published. Task types per format, article, landing page, email, video, social post, carry the fields each format needs.

Briefs next to the work

The brief, the tone guide and the brand rules are documentation pages linked from the task. The writer opens the brief from the task; the version the designer worked from is still there after the guide changes.

Time per campaign

Hours are logged in the task and reported by campaign, person and period. The quarter’s review shows what each campaign took, and the comparison with an agency quote is made from real numbers.

A product launch quarter for an in-house marketing team

An in-house marketing team in a software company, a content lead, a few writers and designers and a performance specialist, plans a product launch for the quarter alongside the regular content plan.

Week one, the campaign from a template

The launch is a project created from the campaign scheme in Projects and tasks, with the launch task list loaded from the Excel template, owners and deadlines included: from positioning and landing page to email sequence, launch post and sales enablement deck. The content lead adjusts dates and owners; the calendar shows the launch next to the monthly content plan, and the collision with the webinar in week seven is moved now.

Weeks two to five, production

Each piece is a task of its type on the production board. A writer picks the brief from the task, drafts, moves the task to review. The designer attaches the layout and logs the hours in the card. The reviewer comments in the task and moves it to approved or back to draft. The tone guide and the brand rules are open from the task; the version the writer used is in the history.

Requests from other departments

Sales asks for a one-pager, product asks for release notes. Both come through the marketing request form; the content lead creates a task on the board for each, with its type, requester and deadline and the form attached, and sees them next to the campaign work instead of in a chat thread.

Every Monday

The weekly review is a meeting in Meetings: what shipped, what slipped, decisions recorded with owners. A decision to drop the video from the launch becomes a task to update the landing page, with a date.

The agency

The external agency producing the launch video works in a shared workspace with the team: its tasks on the same board, its hours on the same report, the brief and the brand rules in the same documentation. The agency sees that workspace only.

Launch week and after

Every piece on the calendar goes out on its date. In the quarter’s review the content lead reads hours by campaign: the launch took most of the quarter’s design hours, the monthly content plan took less than planned, and next quarter’s template is adjusted from that.

Use cases

Campaign launch

A project with the launch task list from the Excel template, owners and deadlines on one calendar. See calendar planning.

Monthly content plan

Every piece by publish date and channel, production stages on the board, briefs linked from tasks.

Requests from sales and product

A marketing request form, a task created for each submission with type, requester, deadline and the form attached. See service desk in Weenvo.

Working with an external agency

A shared workspace where the agency’s tasks, hours and documents sit next to the team’s. See Weenvo for agencies and company knowledge base.

FAQs

Can we see all content on one calendar?

Yes. The calendar shows every task by date across the projects the team has access to, so all campaigns and channels appear together.

Can we run a production board with our own stages?

Yes. The scheme defines the types and the stages; the board shows pieces by stage from brief to published.

Where do briefs live?

In documentation, as pages with version history, linked from the task type or the task itself.

Does Weenvo do proofing or social scheduling?

Reviews are comments and stages in the task; publishing goes out from the scheduling tool on the date the calendar shows. Weenvo runs the planning, the production and the time around them.

Can we track time per campaign?

Yes. Hours are logged in the task and reported by project, person and period, so every campaign has its cost in hours.

Can an agency use the same set-up?

Yes. The agencies page shows the same structure with a workspace per client and hours per client, and an agency can share a workspace with the in-house team.
