Weenvo Use Cases: Work Management for Service Companies

Weenvo is a work management platform for service companies of every size, from a small studio to an enterprise: projects and tasks, time tracking with timesheet approval, meetings with minutes, documentation, forms and a company portal in one product, on one plan. Every plan includes every feature; the Free plan covers up to 10 users. The pages below show how different companies and teams actually use it — one concrete workflow each, not a feature list.

By company size

Small business

Up to 50 people. A 12-person design agency that replaces spreadsheets, Trello and a notes app with one tool, free for the first 10 users.

Medium business

50 to 500 people. A 120-person engineering services company with a workspace per department, roles, weekly timesheet approval and reports across projects.

Enterprise

500 or more people. An internal project office in a 2,000-person company: one login for all Weenvo apps, API, Excel import and department workspaces, priced on request.

By industry

IT services and software

Sprints on boards, hours logged per task, weekly approval and a workspace per client — Jira, Tempo and Confluence in one product.

Consulting and professional services

Engagements as projects, hours approved before invoicing and exported to Excel, a knowledge base per practice, steering meetings with written decisions.

Agencies

A workspace per retained client, hours by client, the monthly review as a meeting with minutes, brand playbooks in documentation.

Engineering and construction

Objects as projects, drawings and approvals with version history, site meetings with minutes, hours by project.

Education

Programmes as projects, committee meetings with minutes, a document library with access by role, surveys of students and staff.

Public sector

Recorded decisions, documents with version history and role-based access, projects with reporting, one login for all Weenvo apps.

By use case

Remote teams

Decisions written down in meeting minutes, documentation instead of chat memory, hours logged from anywhere and approved weekly.

Client projects

A workspace per client with its own roles, hours by client, meetings and documents in one place, export for invoicing.

Company knowledge base

A documentation tree with permissions and version history, project docs inside each project, decisions linked to tasks.

Meetings and decisions

Agenda filed in advance, decisions written during the meeting, tasks with owners created from agenda items, minutes sent and searchable.

By team

Project managers

A scheme as the standard, planned against actual hours, weekly timesheets, steering meetings with decisions as tasks, an evaluation survey at close.

HR and people operations

Onboarding as a project with its task list from an Excel template, an employee account for leave and payslips, surveys and company documentation in the system the teams already use.

Company leaders

Reports by project, client and manager, where last week’s hours went, the management meeting with decisions as tasks, one portal for everyone.

Service desk and support

Requests through a form, a board with your own request types and statuses, time per request, runbooks next to the queue; the same set-up for internal IT and for client support.

Sales and account management

Deals as tasks with your own stages, proposals with versions, client meetings with written decisions, a won deal that becomes the project; not a CRM.

Finance

Approved hours by client, project and employee exported to Excel at month end, rates in the employee account, locked periods.

Marketing

Campaigns as projects, a content calendar, production boards, briefs in documentation, weekly reviews.

Switching from another tool

Most teams arrive from a stack rather than from nothing. These nine comparisons show what changes, feature by feature, each with the cost for a 30-user team:

Jira alternative

One product instead of Jira, Confluence and a time-tracking add-on.

Asana alternative

Time tracking and timesheet approval on every plan, where Asana needs the Advanced plan and a paid add-on.

monday.com alternative

Sprints, time tracking and timesheet approval in one product, where monday.com sells sprints in monday dev and time tracking from the Pro plan.

ClickUp alternative

Timesheet approval and several wikis on every plan, with no tier to climb.

Trello alternative

What Weenvo Free includes that Trello Free does not.

Notion alternative

Structure and timesheets where Notion offers a blank page.

Wrike alternative

Documentation and meetings on one plan, where Wrike has no document or wiki object.

Teamwork.com alternative

Approved hours, documentation and client meetings in one product; Teamwork is stronger on budgets and invoicing.

Zoho Projects alternative

Sprints, meetings, forms and a portal inside the same product, where Zoho sells them as separate products.

Weenvo imports users, projects, tasks and timesheets from Excel templates, and the API is available on every plan.

What every plan includes

The Free plan covers up to 10 users and 50 MB of storage with every feature enabled. Standard is €10 per user per month (10 GB, 15% off on annual billing); Enterprise, for 100 users and more, is priced on request. Plans differ only in users, storage and how long change history is kept — see pricing and why one product. FAQs

Who is Weenvo for?

Service companies of any size that run projects for clients or internal departments and need tasks, approved hours, meetings and documentation in one place: IT services, consulting, agencies, and internal teams such as a PMO or HR.

Does every plan include every feature?

Yes. Free, Standard and Enterprise have the same feature list. They differ in the number of users, storage and change-history retention.

Is there a free plan?

Yes. Up to 10 users, every feature, 50 MB of storage, no credit card. Most small teams start there and move to Standard at the 11th user.

Can clients get their own workspace?

Yes. A workspace per client has its own menu, projects, documents and roles; the client contact sees only that workspace. There is no limit on the number of workspaces.

How do we migrate from our current tools?

Export to Excel from the old tool and import users, projects, tasks and timesheets with Weenvo’s Excel templates. Documents are copied over by hand; the API covers the rest if you want to script it. A 20-person team usually needs a day.
