FAQs
How does a space differ from a project?
A space is an isolated working environment with its own menu, set of projects, applications and members. A project is a unit of work inside a space, including tasks, a board and documentation. One space can contain several projects; access and visibility are configured at space level.
How do I give a contractor or client access without opening up everything else?
Create a separate space for the client or contractor, add only the projects and resources they need, and invite the user with limited permissions. They will see only that space, with no access to the company’s other spaces.
How do I limit members' access to projects?
Access to projects is determined by which projects belong to the space and by the user’s participation in them. Members see only the projects they have been granted access to.
Can members of one space see members of other spaces?
That depends on the space and project settings. User visibility is determined by the access settings and can be restricted.
Can I embed my Google Doc or an external service?
Yes. Google and Microsoft documents and other external resources can be added to a space through an iFrame. If the service supports embedding, it can be placed on the desktop or in the space menu and used without navigating to a third-party site.
Who can create and configure spaces?
Spaces can be created by users who have the relevant permission. By default, this is available to every user with the User role. They can create spaces and grant access to other members.
What does a new member see after being added to a space?
The member sees the structure and content of the space they have been added to, the projects and tasks available to them, and their colleagues on those projects.
Can an existing project be added to a space?
What is an external user, such as a client or contractor, limited to?
An external user has access only to the space they were invited to and to the permitted projects and resources inside it. Other spaces, projects and company members are not available to them. The level of access is determined by the role assigned to the user.
How is user access to spaces managed?
Access is configured individually for each space. You can define the members, their access levels and the projects that belong to the space.
Can the portal be adapted to our company structure?
Yes. The portal structure can mirror the organisational structure of the company. You can create separate spaces for departments, teams, projects and other working groups.
Can different teams have different working environments?
Yes. Each space can have its own structure, set of applications, menu, projects and styling, depending on what the particular team needs.
Can the portal be styled for our company?
Yes. You can configure the appearance of spaces by changing icons, colour settings and the visual theme.
Does the portal support international teams?
Yes. The portal can display names and interface elements in different languages, which is suitable for distributed teams and branch offices.
